Litigation Secretary
La Jolla (UTC Area) | Hybrid Schedule | Full-Time
Salary: $85,000 - $115,000 DOE
A prestigious labor and employment law firm in the La Jolla/UTC area is seeking an experienced Litigation Secretary to support a busy team of attorneys handling state and federal civil litigation matters. Following an initial onsite training period, this position offers a hybrid schedule of two in-office days and three remote days per week.
Key Responsibilities
- Prepare, format, proofread, and finalize pleadings, motions, discovery, correspondence, and other legal documents.
- Create document shells and ensure filings comply with California and federal court rules.
- File documents electronically in state and federal courts.
- Maintain litigation calendars, monitor deadlines, and perform docketing functions.
- Coordinate depositions, hearings, mediations, and other litigation-related events.
- Schedule court reporters, videographers, and court appearances.
- Manage attorney calendars, travel arrangements, and expense reimbursements.
- Maintain and update client files and case records.
- Enter and revise attorney time entries and assist with billing-related tasks.
- Review vendor invoices and prepare payment requests.
- Provide administrative and litigation support throughout all phases of the litigation lifecycle.
Qualifications
- Minimum of 5 years of litigation secretary or legal assistant experience in a law firm environment.
- Strong knowledge of state and federal civil litigation procedures, including California court rules.
- Experience supporting attorneys throughout all phases of litigation.
- Demonstrated experience with docketing, calendaring, and deadline management.
- Proficiency with state and federal e-filing systems.
- Advanced Microsoft Office skills, including Word, Outlook, Excel, and PowerPoint.
- Experience with legal software such as iManage, NetDocuments, Milana/CompuLaw, Best Authority, PACER, ECF, and LexisNexis is highly preferred.
- Ability to prepare tables of contents, tables of authorities, and other complex legal documents.
- Excellent attention to detail, organization, and proofreading skills.
- Adaptable, team-oriented, and eager to learn.
